MATTfixje repairs VanMoof e-bikes. To do that, we need a few of your details. This page explains which, why, and what you can ask of us.
Who is responsible
MATTfixje (KVK 93004184) is responsible for the personal data described here. Questions or requests about your data? Send us a WhatsApp message and we'll answer there.
What we use, and why
- Your request: name, email address, postal code, phone number if you give it, bike model, frame number if you give it, error code and the problem you describe. We need these to send you a proposal, carry out the repair and make your invoice.
- Your repair: status updates, the price you accepted, when you accepted the terms, and whether you drop your bike or part off or send it by courier. So you can follow your repair, and what we agreed is on record.
- Payment: the amount and when you paid. You pay through Stripe; your card or bank details go to Stripe, not to us.
- Invoices: your name and the repair, in our bookkeeping, because tax law requires it.
We use your details for our agreement with you, and for invoices because the law requires it (Article 6(1)(b) and (c) GDPR). We don't sell them, and we don't use them for advertising or newsletters.
Your status page
After your request you get a personal link to your status page. Anyone with that link can see your repair, so don't share it. There are no accounts or passwords.
Your invoice has your name and address on it, so the status page asks for your postal code before it downloads. After five wrong tries it waits fifteen minutes. The page closes 30 days after your repair is finished. If your link reached someone else, ask us for a new one: the old one then stops working.
Who else handles your data
We use a few services to run the site. They only process your data on our behalf, under a data processing agreement:
- netcup: the server the website and its database run on, in the EU
- Resend: sending emails, from Ireland
- Zoho: our mailbox, in the EU
- Stripe: payments
- Cloudflare: storing your invoice, in the EU
- e-Boekhouden: bookkeeping and invoices
Some of these companies are based in the United States. Where data leaves the EU, they use the safeguards the GDPR requires.
If you message us on WhatsApp, WhatsApp (Meta) handles that message under its own privacy policy.
Visiting the site
We don't use analytics, tracking or advertising cookies. Our server keeps technical logs, such as error messages, for a short time to keep the site running and secure. It doesn't keep a record of the pages you visit.
The Google reviews on the homepage are loaded by our server. Your browser only contacts Google when you click one of those links.
The few cookies we do use are listed in our cookie statement.
How long we keep it
- A request that didn't become a repair: deleted 30 days after it was closed.
- A finished repair: deleted 24 months after it was closed, so we can still handle a warranty claim.
- Invoices: 7 years, as tax law requires.
Your rights
You can ask us to see, correct or delete your data, to limit or object to how we use it, or to get it in a file. Get in touch and we'll answer within a month. Invoices we're required by law to keep can't be deleted.
Not happy with how we handle your data? You can complain to the Autoriteit Persoonsgegevens, the Dutch data protection authority (autoriteitpersoonsgegevens.nl).
Changes
If we change how we use your data, we update this page and the date at the top.
